In early 2022, Gaia Resources became the data partner for the Australian federal government’s Biodiversity Data Repository project, created to improve the way that biodiversity information is managed.  Gaia Resources has built the technical data delivery ‘pipeline’ whereby information reaches the main data store of the Repository, through a series of quality reviews and transformations to turn relational data into linked data.  This project also has a strong collaboration aspect – and Gaia Resources has provided support to the various data providers – State and Territory government organisations across Australia – so that over 30 million records can flow through the pipeline.  With the pilot project completed, the Biodiversity Data Repository is now operationalised and will see Gaia Resources continue to be the data partner across the 2023-2025 financial years.

Between 2018 and 2020 Gaia Resources delivered a new Archival Management System for the Queensland State Archives.  We did this in conjunction with our consortium partners from Hudson Molonglo and Recordkeeping Innovation through the Digital Archiving Program (DAP) within the Queensland Government.

The internal Archival Management System (ArchivesSpace) went live at the end of June 2020, along with a new public interface for searching the archives (ArchivesSearch), and a new system to support Queensland agencies (ArchivesGateway).  While some of these systems are restricted access (ArchivesGateway and ArchivesSpace), ArchivesSpace can be directly accessed by the public.

Gaia Resources continues to maintain a presence in supporting the operational side of these systems through an ongoing support contract, whereby we provide support, maintenance, enhancements and an evergreening service to keep the systems up to date.

In late 2019, Gaia Resources answered a call from the Volunteer Bush Fire Brigades WA, who were seeking a partner to help develop a proof of concept mobile app and web site that would support the volunteers fighting bushfires around WA. Then, in early 2020, funding became available to develop a much more fully-featured product, resulting in the Essential Service Volunteers (ESV) app.

This allows for users to automatically track the duration, location and type of work volunteers undertake, an ID card service to show they’re an approved member of a legitimate volunteer essential service and be provided discounts. It also allowed support for the Brigade Captains and Local Government officers to obtain statistics around the volunteering efforts of their Brigade.

In the midst of this build was the spread of CoVid-19. This new situation, with all of Gaia Resources staff working from home did not impact the delivery and the App was delivered as required.

The mobile app was written for both the Android and iOS operating systems; with infrastructure mounted in Amazon Web Services (AWS). A Django backend was created to house the submitted data and a web frontend to allow senior Brigade staff to add, retrieve and edit data as required. You can read more about our partnership with AWS in this case study.

Gaia Resources was engaged in 2019 to develop a submissions portal for biodiversity surveys for the Department of Water and Environmental Regulation (DWER).

The new submissions portal complements DWER’s existing online repository of land-based biodiversity surveys in Western Australia, known as the Index of Biodiversity Surveys for Assessments (IBSA).

The objective of IBSA is to capture and consolidate data contained in biodiversity survey reports to support assessments and compliance under the Environmental Protection Act (1986). The survey data and reports are available for everyone to download from the IBSA repository, improving environmental outcomes via improved quality of data for assessment, a broader decision-making base for regulators, an expanded knowledge base of WA’s flora and fauna and improved availability of environmental information for the community.

For the IBSA Submissions portal we developed two web-forms:

  • initial form for proponents to enter metadata and upload reports and spatial files,
  • subsequent form for an approver to digitally sign-off on the metadata and files to complete the submission.

The initial web-form automatically validates files on upload and immediately alerts the proponent when information or files do not meet the IBSA data standards. This makes completing the process very responsive for the proponent and provides greater consistency in the submissions process. It also provides efficiency gains for the DWER officers, significantly reducing the time they need to spend checking IBSA submissions, which results in time savings for the broader environmental assessment process.

We developed the web-forms using the Angular framework with Material Design for user interface elements and Terradata Covalent for web widgets.

IBSA Submissions Architecture Summary

IBSA Submissions Architecture Summary

For the portal back-end we selected Amazon Web Services (AWS) Serverless technology. This is a lightweight, innovative approach that provides a highly responsive system but eliminates the cost of managing servers. A key component of the Serverless approach was ensuring that the new submissions portal is a conduit, temporarily housing the data packages until they are incorporated into DWER’s existing IBSA database.

While the portal workflow is relatively simple at this stage (two forms), it has a flexible design that can be expanded to accommodate more complex workflow steps if required. The project was designed and delivered within a three month period, including significant testing rounds, and is now live at IBSA Submissions.

The Pacific Manuscripts Bureau copies archives, manuscripts and rare printed material relating to the Pacific Islands. The aim of the Bureau is to help with long-term preservation of the documentary heritage of the Pacific Islands and to make it accessible.  The Pacific Manuscripts Bureau microfilm collection is the most extensive collection of non-government primary documentation on the Pacific Islands available to researchers.  The Bureau is supported by the Australian National University

Gaia Resources provides support to the Bureau around their publicly available AtoM implementation, which contains a range of archival descriptions, authority records and digital objects.

Through the block support approach that Gaia Resources provides, this service is able to be delivered to the Bureau in a cost-effective manner.

Public Records Office Victoria

We have worked with Public Records Office Victoria (PROV) to migrate their archival management system (to CollectiveAccess), as part of a wider Digital Archive renewal project that they are running.

Our role in this project has centered around the implementation of the new Archival Management System, migration of the data from one system to another, and the subsequent testing and integration of the system with the staff within PROV. It has involved a lot of preparation work, understanding data models, and migration to a new data model.

This project was first written about in our blog on the “Managing Archives with PROV” blog post, which can be found at https://archive.gaiaresources.com.au/managing-archives-prov/.

Our team have worked on a range of different projects with the Department of Parks and Wildlife over time, and in early 2017 we saw the launch of our work on the new Wildlife Licensing System.

This project included considerable analysis of the existing Wildlife Licensing System, which was nearing its end of life, and looked at how to replicate the required outcomes, but also to deliver on more efficient licencing for both the Department and the many clients that acquire licences from the Department.

In conjunction with the Departmental Office of Information Management, the system was developed that also links to the new password-less login system and payment gateway.  This integration included considerable work between the teams and for much of the time our team was on-site at the Department to ensure strong communication between all parties.

The system went live in January, 2017, and our team continues to work with the Department on this, and other, projects.

We have been supporting the University of Tasmania in their development of new archival systems, including supporting them in the implementation of the AccesstoMemory (AtoM) system.  This project involved the setup and implementation of a new AtoM instance for the University, and has since gone on to include the provision of a range of other support including infrastructure and software support.

In 2018, we worked with the University of Tasmania to implement a Digital Preservation System, based on the Archivematica software.  This involved setting up Archivematica on the University’s NECTAR Infrastructure and configuring the system in conjunction with training for the staff at the University.  This then was added to the support arrangements for the University and we continue to support both their Digital Preservation and Archival Management systems.

In October, 2016, we began our work with the Flinders University Art Museum & City Gallery, supporting them in the use of their CollectiveAccess based Collection Management System.

Our initial brief was to travel to Adelaide to provide a short on-site support project for the team at Flinders.  This was an intense three day session where a range of issues were investigated and where possible completed.  This resulted in a range of different issues being solved during his initial period, which has then flowed on into other projects.

As part of this project all potential issues were discussed and outlined in detail so that further work could be planned out in a staged approach.  This was then set aside for further work in the future (as well as their Pawtucket instance) including the provision of additional, ongoing support.
